User Management
Manage users, invitations, and team access in your Futurity organization.
Overview
Section titled “Overview”User management allows organization admins to:
- Invite new members
- Assign roles and permissions
- Remove or suspend users
- View user activity
Accessing User Management
Section titled “Accessing User Management”- Click your profile icon
- Select Organization
- Click User Management
Inviting Users
Section titled “Inviting Users”Send an Invitation
Section titled “Send an Invitation”- Click Invite User
- Enter the user’s email address
- Select their role
- (Optional) Add a personal message
- Click Send Invitation
Bulk Invitations
Section titled “Bulk Invitations”Invite multiple users at once:
- Click Bulk Invite
- Enter email addresses (one per line or comma-separated)
- Select the default role for all invitees
- Click Send Invitations
Invitation Status
Section titled “Invitation Status”Track pending invitations:

| Pending | Invitation sent, not yet accepted |
| Accepted | User joined the organization |
| Expired | Invitation past 7-day expiration |
| Revoked | Invitation manually cancelled |
Resend Invitation
Section titled “Resend Invitation”If an invitation expired or wasn’t received:
- Find the user in the pending list
- Click Resend
- A new invitation email is sent
Managing Users
Section titled “Managing Users”User List
Section titled “User List”View all users in your organization:

User Details
Section titled “User Details”Click on a user to view:
- Profile information
- Assigned role and permissions
- Activity history
- Vault access
- Connected integrations
Changing User Roles
Section titled “Changing User Roles”- Click on the user
- Click Edit Role
- Select the new role
- Click Save
Suspending Users
Section titled “Suspending Users”Temporarily disable a user’s access:
- Click on the user
- Click Suspend User
- (Optional) Add a reason
- Confirm suspension
Suspended users:
- Cannot log in
- Lose access to all resources
- Keep their data intact
- Can be reactivated later
Reactivating Users
Section titled “Reactivating Users”- Find the suspended user
- Click Reactivate
- Confirm reactivation
Removing Users
Section titled “Removing Users”Permanently remove a user from the organization:
- Click on the user
- Click Remove User
- Choose what happens to their data:
- Transfer to another user
- Delete permanently
- Confirm removal
User Data
Section titled “User Data”Transferring Ownership
Section titled “Transferring Ownership”When removing a user, transfer their content:
- Vault files
- Chat history
- Workflows
- Dashboards
Select a recipient to take ownership of their assets.
Data Retention
Section titled “Data Retention”When a user is removed:
- Shared content remains accessible
- Transferred content goes to new owner
- Deleted content is permanently removed
- Activity logs are retained for audit
Searching and Filtering
Section titled “Searching and Filtering”Search
Section titled “Search”Find users by:
- Name
- Role
Filters

Department Management
Section titled “Department Management”Organize users into departments for better structure and filtering:
Viewing Departments
Section titled “Viewing Departments”- Go to Organization → User Management
- Departments are visible in filters and user listings
- Users can be assigned to departments
Adding Departments
Section titled “Adding Departments”Organization admins can create departments:
- Click Add Department
- Enter department name and description
- Save the department
- Assign users to departments from their profile
Department Benefits
Section titled “Department Benefits”- Organization: Better structure for large teams
- Filtering: Quickly find users by department
- Reporting: Group analytics by department
- Permissions: Future support for department-based permissions
Activity Monitoring
Section titled “Activity Monitoring”View user activity:
- Login history
- Feature usage
- Files accessed
- Changes made
Best Practices
Section titled “Best Practices”- Use roles appropriately: Give minimum necessary permissions
- Regular audits: Review user list quarterly
- Offboarding process: Have a standard removal procedure
- Document access: Keep records of who has what access
- Prompt removal: Remove users quickly when they leave
Troubleshooting
Section titled “Troubleshooting”User can’t log in
Section titled “User can’t log in”- Check if user is suspended
- Verify email address is correct
- Have user reset password
- Check if invitation was accepted
Invitation not received
Section titled “Invitation not received”- Check spam/junk folder
- Verify email address spelling
- Resend invitation
- Try a different email address
Can’t change role
Section titled “Can’t change role”- Verify you have admin permissions
- Can’t change your own role to lower
- Can’t modify organization owner
